ADMISSION COORDINATOR/ASSISTANT TO THE DIRECTOR OF UPPER SCHOOL ADMISSION

THE POSITION

Hawken School is seeking a full-time Assistant on our Gates Mills Campus (Grades 9-12). This is a twelve-month, in-person position and is eligible for Hawken’s comprehensive benefits program. Due to the nature of the admission season and calendar, some times of year will be busier than others and may require evening or weekend work.
Responsibilities include but are not limited to the following essential duties:
  • Serve as an administrative assistant for the Director of Upper School Admission 
  • Serve as the Admission Coordinator, helping families complete the admission process and managing all application files, materials, etc.
  • Oversee office functions, including answering admissions phone calls, scheduling appointments, ordering supplies, preparing mailings, assisting with events and functions, and maintaining common office spaces
  • Work directly with the Director of Upper School Admission on projects and tasks
  • Support the Director of Upper School Admission and other members of the Admission and Enrollment team in a wide range of projects
  • Serve as the main point of contact for families making their way through the admission process
  • Edit and maintain various aspects of the application, including working with third-party providers
  • Serve as the onsite administrator for all ISEE (Independent School Entrance Exam) scheduling and testing (occasional weekend testing required)
  • Maintain the Admission Office/Application Databases (Finalsite Enrollment) and prepare reports as needed; this position works extensively with considerable amounts of data daily
  • Represent Hawken School to prospective families via phone, in-person, and at events
  • Maintain the calendar for all members of the Admission and Enrollment team and work with other constituencies on campus and off to aid in scheduling of meetings and events
  • Work with members of the Admission and Enrollment team across four campuses, attend regular campus-specific and cross-campus staff meetings and events
  • Other duties as required by the Director of Upper School Admission
QUALIFICATIONS
  • Candidate must be detail-oriented, have high-level multi-tasking ability and possess strong organizational and communication skills
  • Proficiency and comfort with Microsoft Excel, Word, Outlook, and Google suite applications is required
  • Previous experience with Finalsite Enrollment software, an educational database system, or other database software is a requirement
  • Candidates should be aware that this is a data-heavy position and successful candidates will feel comfortable working with data, creating data pulls daily, and maintaining data integrity
  • Must be a self-starter and be able to initiate and prioritize work with minimal supervision
  • Must have excellent interpersonal and customer-service skills and be comfortable interacting with students, parents, and faculty
  • A high level of organization and ability to initiate and maintain systems-based approaches is absolutely necessary
  • A commitment to confidentiality and good judgment on sensitive matters is essential
  • An Associate’s or Bachelor’s degree is preferred
